Terms and Conditions

These Terms and Conditions (“Terms”) govern registration, sponsorship, payment, participation and attendance relating to conferences, summits, executive forums, networking events, workshops or related services (“Event”) organised by Cel Mare Media OÜ, registry code 17446252, registered in the Republic of Estonia (“Organiser”, “we”, “us”, “our”). By registering, signing a booking form, accepting an invoice or completing payment via bank transfer or secure online payment gateway, you agree to be legally bound by these Terms.Comments

Registration and Formation of Agreement

A registration request constitutes a binding request to participate. A legally binding agreement is formed when the Organiser confirms participation in writing and full payment is received in cleared funds. Reservation of a delegate seat or sponsorship package constitutes allocation of resources and commencement of service preparation. The Organiser reserves the right to refuse or cancel a registration prior to confirmation in order to maintain Event integrity, professional standards or security.

Payment Terms

Payment must be completed within seven (7) calendar days from invoice issuance or registration confirmation. If registration occurs within seven (7) days prior to the Event start date, payment must be completed within forty-eight (48) hours. Payment may be made via bank transfer, invoice payment or secure online payment gateway, including payment processing services provided by Stripe, Inc. or other authorised payment providers used by the Organiser. All bank charges, transfer costs and payment processing fees are borne by the payer. Failure to meet payment deadlines may result in cancellation without further notice.

Chargebacks and Payment Disputes

Initiating a chargeback or payment dispute after confirmation constitutes breach of contract. The Organiser may revoke participation, deny access to the Event and pursue recovery of the full contracted amount together with administrative and legal costs. Seat reservation and Event preparation constitute partial performance of services.

Delegate Cancellation Policy

All cancellation requests must be submitted in writing and are effective only upon written acknowledgement. If cancellation is received more than forty (40) days before the Event, the participant may receive either a 50% refund or an 85% credit note. If cancellation is received between forty (40) and twenty-six (26) days before the Event, the participant may receive either a 30% refund or a 75% credit note. If cancellation is received between twenty-five (25) and eleven (11) days before the Event, the participant may receive either a 15% refund or a 60% credit note. If cancellation is received ten (10) days or fewer before the Event, no refund and no credit note shall be issued. Non-attendance does not entitle the participant to any refund or credit. Refunds exclude non-recoverable processing costs.

Sponsorship Cancellation Policy

All sponsorship cancellation requests must be submitted in writing. If cancellation is received more than seventy (70) days before the Event, the sponsor may receive either a 50% refund or a 95% credit note. If cancellation is received between seventy (70) and fifty-one (51) days before the Event, the sponsor may receive either a 35% refund or an 85% credit note. If cancellation is received between fifty (50) and thirty-one (31) days before the Event, the sponsor may receive either a 15% refund or a 75% credit note. If cancellation is received thirty (30) days or fewer before the Event, no refund and no credit note shall be issued. Administrative, marketing, activation and planning costs may be deducted from any refund or credit issued. Sponsorship benefits may commence immediately upon confirmation.

Credit Notes

A credit note is a non-cash credit issued by the Organiser that may be applied toward participation or sponsorship in a future Event organised by the Organiser. Credit notes are valid for twelve (12) months from the original Event date, cannot be exchanged for cash, are non-transferable without written approval and expire automatically after the validity period.

Event Postponement

If the Event is postponed or rescheduled for operational, regulatory, commercial or other reasons, all registrations and sponsorships automatically transfer to the revised Event. If a participant or sponsor cannot attend the revised Event, the sole remedy shall be a credit note. No monetary refunds shall apply.

Event Cancellation

If the Event is cancelled for any reason whatsoever, including operational, regulatory, economic or force majeure circumstances, participants and sponsors shall receive a credit note equal to the amount paid. No monetary refunds shall be issued under any circumstances.

Force Majeure

The Organiser shall not be liable for delay, modification or cancellation caused by circumstances beyond reasonable control, including governmental action, public health emergencies, natural disasters, war, civil unrest, venue unavailability, supplier failure, transport disruption or technical failure. In such cases, the sole remedy remains issuance of a credit note.

Substitution

Substitution of a registered participant, whether attending as a delegate or under a sponsorship package, is permitted within the same organisation. Substitutions are allowed free of charge up to twelve (12) calendar days before the Event start date. Substitutions requested between twelve (12) and five (5) calendar days before the Event may be accepted subject to an administrative fee determined by the Organiser. Substitutions requested within five (5) calendar days before the Event require prior written approval from the Organiser and may be refused at the Organiser’s discretion. Badge sharing, resale, or unauthorised transfer of access to individuals outside the registered organisation is strictly prohibited.

Programme and Speaker Changes

The Organiser reserves the right to modify speakers, agenda, venue, schedule or format of the Event at its discretion. The Organiser does not guarantee specific attendance numbers, job titles, company representation, or networking outcomes, and any promotional materials may contain forward-looking statements, targets or projections. Such changes or variances shall not entitle participants or sponsors to cancellation, refund, or any form of compensation. refund.

Travel and Visa Responsibility

Participants and sponsors are solely responsible for travel arrangements, accommodation, visa approvals and insurance coverage. The Organiser is not liable for related financial losses under any circumstances.

Conduct and Professional Standards

The Organiser may remove any participant or sponsor representative for disruptive behaviour, harassment, data misuse, unauthorised solicitation or breach of professional standards. Removal does not entitle the individual to refund or credit.

Intellectual Property

All Event content, branding, presentations, materials and recordings remain the intellectual property of the Organiser or respective rights holders. Unauthorised reproduction or distribution is prohibited.

Photography and Media

By attending, participants grant permission for photography, filming and promotional use without compensation.

Data Protection and Information Sharing

The Organiser processes personal data in accordance with applicable data protection legislation, including the EU General Data Protection Regulation (GDPR). Personal data collected during registration may include (full name, job title, company name, business email address). This information is used for Event administration, communication, payment processing, badge printing, networking facilitation and promotion of future Events organised by the Organiser. Where payments are processed through a secure online payment gateway, limited transaction information may be shared with the respective payment service provider for the purpose of completing the payment and preventing fraud. For networking purposes, professional contact details (full name, job title, company name, business email address) may be shared with other registered attendees, speakers and sponsors. Where badge scanning or digital networking tools are used, voluntary interaction constitutes consent to share professional contact details with the respective party. The Organiser does not sell personal data. Participants may unsubscribe from marketing communications at any time and may request access, correction or deletion of their data in accordance with applicable law. Limitation of Liability

To the maximum extent permitted by law, the Organiser shall not be liable for indirect or consequential damages and does not guarantee business outcomes. Total liability shall not exceed the amount paid by the participant or sponsor.

Severability

If any provision of these Terms is deemed unenforceable, the remaining provisions remain valid.

Governing Law

These Terms are governed by the laws of the Republic of Estonia and all disputes shall be subject to the exclusive jurisdiction of Estonian courts.
