This Privacy Policy explains how Cel Mare Media OÜ, registry code 17446252, Republic of Estonia (the “Organiser”, “we”, “us”, “our”) collects, uses, stores and shares personal data in connection with our conferences, summits, executive forums, networking events, workshops and related services (the “Event”), and our website and communications (together, the “Services”). This Privacy Policy should be read together with our Terms and Conditions.

Who is responsible for your personal data
Cel Mare Media OÜ is the data controller for personal data processed for the Services, meaning we determine how and why personal data is processed, subject to applicable law including the EU General Data Protection Regulation (GDPR).
What personal data we collect
When you register for an Event, request information, or communicate with us, we may collect limited professional contact details, including (full name, job title, company name, business email address). We may also obtain professional contact information from reputable third-party business data providers and publicly available sources for legitimate B2B communication purposes. We use this data solely for professional outreach and Event-related communication, and recipients may object to such processing or request deletion at any time.When you use our website, we may also collect certain technical information that is generated automatically by your device or browser, such as IP address, device and browser information, approximate location derived from IP, pages viewed, referral source, and cookie identifiers, to the extent these technologies are enabled on our website. We do not intentionally collect special category data (such as health, religion, political opinions) and we ask that you do not provide sensitive information to us unless we explicitly request it for a specific purpose and have a lawful basis to process it. Our Services are intended for business professionals and are not directed to children. We do not knowingly collect personal data from individuals under 18.
How we use personal data
We use personal data to operate the Services, including administering Event registrations, issuing invoices and processing payments, sending confirmations and operational updates, producing badges, providing Event access, responding to enquiries, maintaining professional attendee records, delivering customer service, and managing contractual relationships relating to participation and sponsorship. We also use professional contact details to facilitate networking features where applicable, including attendee lists or networking tools, and to inform you about future Events or related updates, subject to your marketing preferences and applicable law. You may opt out of marketing communications at any time by using the unsubscribe link included in our emails or by contacting us directly. If photos or video recordings are taken at an Event, we may use those materials for Event documentation and promotion as described in our Terms and Conditions. We may use technical website data to maintain website security, prevent fraud and abuse, troubleshoot errors, measure website performance, and improve the user experience.
Legal bases for processing
Where required by GDPR, we rely on one or more of the following legal bases depending on the context: processing is necessary to perform a contract with you or to take steps at your request before entering into a contract; processing is necessary to comply with legal obligations; processing is necessary for our legitimate interests such as running and improving the Services, protecting our business, preventing fraud, ensuring network and information security, and promoting our Events, provided those interests are not overridden by your rights; processing is based on your consent where consent is required, such as for certain types of marketing or certain cookies, and where used you may withdraw consent at any time.
Who we share personal data with
We may share personal data with service providers who support our operations, such as Event registration and ticketing tools, payment processors (including Stripe, Inc.), email delivery providers, website hosting and IT providers, analytics providers, customer relationship management tools, and on-site Event suppliers who help deliver the Event. These providers process personal data on our instructions where they act as processors. Where payments are made through secure online payment gateways, payment information may be processed by the respective payment service provider in accordance with their privacy policies.
For networking purposes, we may share professional contact details (full name, job title, company name, business email address) with other registered attendees, speakers and sponsors where this is part of the Event experience, as described at the point of registration and in our Terms and Conditions. Where badge scanning or digital networking tools are used, voluntary interaction with another party may result in your professional contact details being shared with that party.
We may also disclose personal data where required by law, regulation, court order or lawful request by public authorities, or where necessary to establish, exercise or defend legal claims, or to protect the rights, property and safety of the Organiser, attendees, sponsors, or others.
We do not sell personal data.
International transfers
We are based in Estonia, and your personal data may be processed within the European Economic Area. Some of our service providers may process data outside the EEA. Where personal data is transferred outside the EEA, we use appropriate safeguards required by law, such as adequacy decisions or Standard Contractual Clauses, and we take steps to ensure an appropriate level of protection.
Data retention
We keep personal data only for as long as necessary for the purposes described in this Privacy Policy, including providing the Services, maintaining business records, complying with legal and accounting requirements, resolving disputes, and enforcing agreements.
